Protecting Sensitive Data

If sensitive data falls into the wrong hands, it can lead to a security breach, fraud, and/or identity theft. By taking steps to secure confidential data, you can protect the University community from these cyber security risks. Keep reading to learn more about sensitive data and how to secure it.

Classifying Sensitive Data

Knowing which types of data are classified as “sensitive” can help you make informed decisions about when and how to store University data. In ITS, we classify sensitive data in the following categories:

Personally Identifiable Information (PII)

Personally identifiable information (PII) is any data that could potentially identify a specific individual. PII can be labeled sensitive or nonsensitive. Nonsensitive PII can be easily gathered from public records, phone books, corporate directories and websites.

Sensitive PII is information that, when disclosed, could result in harm to an individual. This type of sensitive data often has legal, contractual or ethical requirements for restricted disclosure. Examples of sensitive PII include: social security numbers, driver’s license numbers, and passwords.

Payment Card Industry (PCI) Data

The PCI Security Standards Council (SSC) developed the Payment Card Industry Data Security Standard (PCI DSS) in 2004 to combat credit card fraud. PCI data includes cardholder data such as the cardholder’s name, the primary account number, and the card’s expiration date and security code.

PCI data can also include sensitive authentication data, including magnetic-stripe data, the equivalent data contained on a chip, and PINs.

Family Educational Rights & Privacy Act (FERPA) Data

FERPA classifies protected information into three categories: educational information, personally identifiable information, and directory information. Although personally identifiable and directory information are often similar or related, FERPA provides different levels of protection for each. PII can only be disclosed if the educational institution obtains the signature of the parent or student (if over 18 years of age) on a document specifically identifying the information to be disclosed, the reason for the disclosure, and the parties to whom the disclosure will be made.

Protected Health Information (PHI)

Under HIPAA, protected health information is considered to be individually identifiable information relating to the health status of an individual. Health information such as diagnoses, treatment information, medical test results, and prescription information are considered protected health information under HIPAA, as are national identification numbers and demographic information such as birth dates, gender, ethnicity, and contact and emergency contact information. 

Managing Sensitive Data

The first step in managing sensitive data is to identify where the data is being stored. ITS offers Spirion, a data discovery and remediation tool that helps organizational units throughout the University not only find where their sensitive data may be located, but also facilitates remediation of that information.

Secure File Storage

Georgia Southern provides a secure Google drive for departments who utilize sensitive data to assist with secure storage needs.

Spirion

Identity theft, fraud, and security breaches can occur when sensitive data, such as social security numbers and credit card numbers, fall into the wrong hands. Spirion is software that helps organizational units find and remove sensitive information stored on University-owned systems and networks. Keep reading to learn how to use this software.

How it Works

Spirion facilitates the discovery and remediation of sensitive data. This tool works by first identifying where sensitive data is located and then providing options for managing and securing that data.

What does Spirion search for?

Spirion is configured to specifically look for sensitive data. Examples include: social security numbers, credit card numbers, bank account numbers, drivers license numbers, and passwords.

Spirion has the ability to search for sensitive data in file types such as Microsoft Word, Excel, Access, PowerPoint, Adobe PDF, txt files, web files and other common file types.  The tool also has the ability to search through compressed files.

Where can Spirion search?

Spirion is allowed to scan Google Drive, home directories, departmental drives, workstations, and applications.

What happens if sensitive data is found on my computer?

By using Spirion, organizational units are empowered to manage their own data to protect University resources. This tool allows organizational units to locate their own sensitive data to prevent data breaches in their areas. Identifying the location is the first step in managing and protecting this data. Afterwards, users can choose how to protect the data.

Who will Spirion scan results be shared with?

There are two different types of scans: administrator scans and local scans.  Administrator scans provide specific details pertaining to resources and data types. 

Local scans are performed by the user at the workstation.  These reports are defined by the user and not shared with anyone else.  This allows you (the user) the opportunity to investigate your own resources and take action.

Using Spirion

Performing a local scan on your device with Spirion can help you locate and manage your sensitive data.

Step 1: Locate Your Sensitive Data

Local scans can be run using the Spirion Search Wizard on both PC and Mac. Scans typically take 20 – 40 minutes to run–you can still use your machine to do other work while the scan is running. When the scan has finished, results of the scan will be displayed.

Use the steps below or view our detailed documentation to locate your sensitive data:

  1. In the Search Wizard or the Spirion interface, click on Start or Start Search Now.
  2. A pop-up window will be displayed during scanning and will show search results once the scan has completed.
  3. You may the select Wizard to move through each item step by step, or select Advanced Mode to choose their own action for each item.

Step 2: Managing Your Sensitive Data

If a scan locates sensitive data, you can choose to shred or redact that data in order to mitigate risk. The shred function permanently deletes data and should be used if you no longer need to store the file locally. This is the most commonly used method of managing sensitive data since most users find that they don’t need to store the sensitive data. The redact function removes sensitive information from files while leaving the file in its location. This function is used less frequently and can only be used on local or network drives (not email or Google Drive). Alternatively, if sensitive information must be stored, users can choose to securely store the information using a departmental or personal secure storage drive.

How to Shred

  1. Click the Shred button on the main ribbon in the Spirion interface.
  2. Right click the result, then click Shred.
  3. Click the result to highlight it and press the delete key on your keyboard.

  2. Right click the result, then click Redact.
How to Securely Store Files

Have you determined that it’s necessary to store sensitive data? If data cannot be shredded or redacted, use our secure storage options to ensure that the data is protected.

Secure Storage

Secure File Storage allows Georgia Southern faculty, staff, and departments to store Sensitive Data. Secure Storage drives are available for University departments who utilize and store Sensitive Data. Keep reading to learn more about using Secure File Storage.

The university provides a secure Google drive for departments to assist with storage needs for Personally Identifiable Information (PII), Family Educational Rights & Privacy Act (FERPA) Data, and Payment Card Industry (PCI) Data.

Protected Health Information (PHI), which is specific to areas of the University, is managed separately from the other types of sensitive data. To discuss your PHI storage needs, please contact our MyTech Support staff, who will be happy to discuss storage options for you.

To locate your departmental secure storage drive, follow the steps below:

  1. Sign into the MyGS portal.
  2. In the MyApps tile, locate the Google Drive icon.
  3. In the left navigation menu, locate the “Shared Drives” option and click to expand.
  4. Your department’s secure drive is located here, with the naming convention “Secure_DeptName.”

Documents stored in your departmental secure storage drive are viewable only by those who have access to the drive and may not be shared outside of those resources.

VPN & Remote Desktop

We offer Virtual Private Network (VPN) and Remote Desktop to PC services to help faculty and staff access secure resources when it’s necessary to work off-campus. VPN services are used to access systems like Banner, network drives, and other sensitive systems. Keep reading to learn more about how to access VPN and Remote Desktop services.

When should I use VPN services?

VPN services should only be used when you need to access sensitive systems such as Banner, R: drives, payroll systems, and other services that can only be accessed from the campus network. Systems such as WINGS, OneUSG, and Folio do not require an on-campus network connection, and therefore should not be accessed via VPN.

VPN connections are timed connections. This means that a timer starts when you connect to the VPN. After you’re connected, access the resources that you need and then disconnect to avoid any disruptions.

Connecting Using a University Machine

If you need to connect to the VPN using a University laptop or other machine, you should already have the resources you need. We install the VPN client when we set up or update your machine.

Special note: If you haven’t brought your laptop to campus or updated it in a while, you may experience problems or delays. To make sure you’re prepared to easily connect to the VPN, it’s a good idea to connect your machine on campus and let it receive necessary updates.

Connecting with a Personal Machine

If you’re working from home and need to access the VPN from your own personal laptop or other machine, you’ll first need to download the VPN client. Download the appropriate Palo Alto Global Protect software in MyDownloads. MyDownloads can be accessed through the “Download Software” link in the Technology Resources tile in your MyGS portal. You can then follow the instructions below to complete the connection.

Third Party Connections

Third party support sources are required to request a VPN account through their respective university contact.

IT representatives with outside vendors, please visit the Outside Vendor VPN request form to fill out a new/renewal VPN application. VPN users must comply with the requirements outlined in the (Click on the “Download” button to view the policy). Click the button below to request a Vendor VPN Account (login required).

Remote Desktop to PC

If you’re working remotely and need to access your Georgia Southern PC, you can follow the directions below to complete the process.

Need to Know

Every student who parks on campus — commuter or resident — must register their vehicle.

Every Faculty and Staff member also must register their vehicle.

Registration is free on the Swainsboro Campus, but it is required. Public Safety will be actively patrolling lots during enforcement hours, so don’t wait until the first week to register.

How to Register Your Vehicle

  1. Log into your My Georgia Southern portal.
  2. Under Parking and Transportation, select Parking Permits and Citations.
  3. Select Order a Permit.
  4. Enter your vehicle’s license plate, make, and model, then select either the Swainsboro Resident or Swainsboro Commuter Parking Permit.
  5. (Recommended) Opt in to text alerts for real-time updates.

Georgia Southern uses License Plate Recognition (LPR) — your license plate is your permit. No physical decal will be mailed to you, so make sure your plate number is entered correctly.

Important: Never back into or pull through a parking spot. Enforcement vehicles read plates as they drive by, so your plate must remain visible from the driving aisle at all times.

Log into My Georgia Southern, go to Parking Permits and Citations, select your active permit number, then Modify Account Vehicles. You can choose a temporary or permanent change. All registered vehicles must belong to you or an immediate family member.

With a valid commuter permit, you may park in any commuter lot. Residents must park in their assigned residential lot.

Commuter lots are enforced Monday–Friday, 7:30 a.m.–5:00 p.m. Residential lots are enforced 24/7.

The Day1Access program is a digital textbook model in collaboration with top publishers to reduce the cost of required course materials. Access for all students begins the first day of class, with the option to opt-out of purchasing through the drop/add period.

Your required digital course materials are delivered through Folio. Access begins the first day of class. Go to My.GeorgiaSouthern.edu, Login, select Folio, and select your course. Not Seeing Your Course in Folio? If you don’t see a class in Folio, and it starts in less than a week, your instructor may not have made it active. If you are concerned about access, please email your instructor.

Prices are negotiated and vary depending upon the course materials chosen by the instructor but are contracted to be lower than competitive market rates.

If you do not wish to purchase the required course materials through the Day1Access program, you have until the add/drop day to opt-out. If you opt-out by the deadline, access to the online content will be turned off and the cost will not appear on your Student Billing Account found in WINGS/Touchnet.

Barnes & Noble @ Georgia Southern: To Opt-Out, log in to Folio, click the “Resources Menu” on the header menu, then click the “Barnes & Noble” link. Students who drop the course before the add/drop deadline will automatically be “opted-out”. There are no refunds for students who drop after the add/drop deadline.

Yes. All students who are enrolled in a course using Day1Access are automatically considered part of the program. To avoid paying for the digital materials you must opt-out through your Folio course home page before the add/drop deadline.

Once the cost of the required course materials has been applied to your Student Billing Account, there are no refunds.

Yes, if it is before the add/drop deadline. To opt back in, you will log in to Folio and select the prompt to opt back in. If you do not opt back in before the add/drop date, please visit  for assistance.

All enrolled students receive an injection page in the MyGS portal with information about their Day1Access charges. Students can also click on the “Day1Access Course Materials & Costs” link in the Registration Information tile in their MyGS portal to view their Day1Access information at any time.

The access is free through the add/drop date. After that, all enrolled students who have not opted-out of the program or dropped the course will have the discounted price applied to their Student Billing Account. The cost of the required digital content for Day1Access will appear on your Student Billing Account as “Bookstore Charge.”

Family Medical Leave Act (FMLA)

The Family and Medical Leave Act (FMLA) entitles eligible employees at 91ɬ to take unpaid, job-protected leave for specified family and medical reasons with continuation of group health plan coverage under the same terms and conditions as if the employee had not taken leave. Employees are required to use accrued sick and/or vacation leave prior to taking unpaid leave.

Eligible employees are entitled to 12 weeks (480 hours) of leave in a rolling 12-month period for the following qualifying reasons:

  • Your Own Serious Health Condition: A serious mental or physical health condition that makes you unable to work (e.g., surgery, cancer treatment, pregnancy complications).
  • Family Care: To care for your spouse, child, or parent with a serious mental or physical health condition.
  • Bonding: The birth of a child, or the placement of a child with you for adoption or foster care, and to bond with the new child.
  • Military Exigency: Certain qualifying reasons related to the foreign deployment of your spouse, child, or parent who is a military service member.
  • Military Caregiver: Up to 26 weeks of leave to care for a covered service member with a serious injury or illness.

Standard FMLA Process

The following steps are the standard FMLA process for a continuous leave for a Georgia Southern employee, based on the “FMLA Road Map” found in the .

  1. New Leave Request – If the need for leave is foreseeable, you must give 30 days’ notice. If the need is sudden, notify HR as soon as possible. You must submit the to begin the process.
  2. Eligibility Notice – The HR team will send an eligibility notice within 5 business days of receiving your request. Note: Eligibility does not guarantee approval; it confirms you meet the tenure/hours requirements.
  3. Certification Form – You may be required to submit supporting documentation, typically a Medical Certification Form from a healthcare provider. You must return this within 15 calendar days of the request.
  4. Final Designation Notice – Watch your email inbox. HR will review your documentation and notify you if your leave is approved as FMLA-protected and outline your next steps, including submitting your Extended Absence Request.
  5. Communication – Employees on leave are expected to communicate with the HR team. If your leave is close to the full 12-week period, check in every 30 days. You must also notify HR immediately if your dates or condition change.
  6. Return to Work – You must contact the HR team at least 3 business days before your scheduled return. If the leave was for your own medical condition, you must provide a (or doctor’s note) clearing you to work before you can resume duties.

Request Process and FAQs

If you know ahead of time that you will need FMLA leave (e.g., for surgery or childbirth), you must give at least 30 days’ notice. If the need for leave comes up suddenly, let the HR team know as soon as you can. 

Yes. Pregnancy can qualify as a serious health condition for prenatal care or incapacity (e.g., bed rest). Following the birth, FMLA covers both the recovery period (medical leave) and bonding time (family leave).

Not all requests meet FMLA rules (e.g., if you haven’t worked 1,250 hours or the condition isn’t “serious”). If you are ineligible, HR will help you explore other options.

FMLA is unpaid, but GS requires you to use accrued sick/vacation leave to remain in paid status. If you exhaust your paid leave and move to unpaid status, you are responsible for paying your portion of benefit premiums to maintain coverage.

What is Panorama?

is integrated into Folio course spaces and offers students alternative accessible formats to support different learning styles. These options include Audio Podcast, EPUB to use with ereader devices, Immersive Reader, Gradient Reader, Text File, Braille formats, and many more.
Panorama scans your Folio course space to provide an accessibility score for course and individual documents that include HTML, PDF, Word, PowerPoint, Excel and GIF. Panorama will provide directions on what accessibility issues need to be resolved as well as assistance to directly within content in your Folio course space. While Panorama will help identify and remediate many accessibility issues in Folio, instructors are responsible for ensuring that all of their course content is accessible to all students.

Benefits of Panorama

Panorama enhances the learning experience for all students by providing alternative formats (like braille, audio, or HTML) while allowing instructors to fix accessibility issues directly within the LMS platform. Inline remediation detects and fixes any issues identified within the LMS to provide documents that are accessible within required standards.

Access Your Georgia Southern Resources

The MyEGSC portal has been retired effective July 1, 2026. You can now access most services through the MyGeorgiaSouthern portal. Services that still require use of East Georgia credentials are linked in the Quick Links section of this page.


First-Time Access for the MyGeorgiaSouthern Portal

MyGeorgiaSouthern is your gateway to everything Georgia Southern. To retrieve your credentials and activate your account, navigate to and click the “First Time User” button. Follow the prompts on the screen to get your user information and activate your account. 

Pro Tip: Have your smart phone available when you’re ready to complete this process so that you can enroll in Duo’s Multifactor Authentication service. Want to take a tour? Check out the “MyGS Tutorial Videos” tile.

Georgia Southern is a Google partner school, which means you now have access to the G Suite of applications, including Gmail, Google Drive, Google Docs, and much more. It’s everything you need in one “suite” package. To access these services, select them in the “MyApps” tile in your MyGS portal. 

All content from your East Georgia Email and OneDrive has been migrated to the Georgia Southern environment.

Fall registration begins with a meeting with your advisor to chart your course for the semester. As a Georgia Southern student, you may have an Advisement Hold that can be cleared when you meet with your advisor. You’ll receive more information about how to remove this hold via the MyGS portal, so check back often. 

While registration for Fall classes may look a little different than what you’re used to, your Academic Success Advisor is happy to help. Click the button below to reach out to your ASA for assistance.

Currently, you’re using the Brightspace D2L learning management system, now accessible via the MyGS portal, to submit course assignments, engage in class discussions, and everything else that you need in your virtual classrooms. You’ll continue to utilize this resource for your Summer courses. 

Beginning Fall 2026, you’ll use Folio, Georgia Southern’s virtual classroom environment, which is also powered by Brightspace D2L. The platform will look very similar to the D2L environment that you’re used to, but will be accessed via the “Folio” widget in your MyGS portal.

DegreeWorks is a web-based program that provides easy access for advisors and students to track courses completed and plan for those still needed in preparation for registration and graduation. All East Georgia Campus students can access DegreeWorks via the “Advisement Resources” tile in your MyGS portal.

For the Fall 2026 term, you’ll need to complete attendance verification to ensure that you’re not charged for a course you’re not taking. Attendance verification is done via a quiz in Folio. 

This is a new process for you, so don’t worry if you’re not sure how to complete it right now. You’ll receive instructions on how and when to complete this process via the MyGS portal at the start of the term.

The Fall 2026 Housing Application is available. To apply to live in a residence hall on the Swainsboro Campus, complete the housing application via the “On-Campus Housing Portal” link in the “Campus Life” tile in your MyGS portal.

You may already be familiar with the MyHelp ticketing system if you’ve submitted a ticket for a housing issue or a technology issue. If you’ve logged in before, you probably created a guest account to submit your issue. However, you are now able to sign into MyHelp using your MyGS credentials. This will allow you to quickly submit and keep track of all your tickets in one place. 

Pro Tip: You may need to log out and log back in with your MyGS credentials.

GS Premium is Georgia Southern’s premiere wifi network, which you have access to with your new MyGS credentials. This certificate-based network ensures a faster, more reliable connection. Use the resources below to get connected.

The LiveSafe app provides two-way, real-time interactions with Public Safety that include text, calls, photos and videos. The app also provides relevant safety resources and peer-to-peer safety tools and is available as a free download for all Georgia Southern students, faculty and staff.

The Eagle Card Mobile ID is similar to the Mobile CatCard that you currently use. You can now download your Eagle Card Mobile ID via the Transact (eAccounts) app. If you’re signed in with your EGSC credentials, you may need to sign out and sign back in with Georgia Southern credentials.

Dining plans are available for East Georgia Campus students for Fall 2026. You can view, purchase or upgrade your meal plan using the “Purchase a Dining Plan” link in your MyGS portal.
